Suppliers in China: how to find and validate them

Choosing the right factory is the decision that most determines the outcome of an import. This guide explains where to look for Chinese suppliers, how to tell a real manufacturer from a middleman, and what to verify before wiring the first deposit.

1. Where to find suppliers in China

There are several ways to find candidates, each with a different risk profile. The sensible approach is to combine them and not rely on a single source.

  • Online B2B platforms: broad choice and fast access, but middlemen abound and verification is shallow.
  • Trade fairs in China (Canton, Yiwu, specialised fairs): you can see the product and talk to the factory directly.
  • Industry recommendations and references from other importers: the most reliable route, though the slowest.
  • Sourcing partners with an office in China: access to already validated factories and pre-screened candidates.

2. Manufacturer or trading company: how to tell them apart

Many supposed manufacturers are in fact trading companies. That is not necessarily bad — a good trading company adds service and flexibility — but you need to know in order to negotiate well.

  • Ask for the Chinese business licence and check that its scope includes manufacturing the product.
  • A real factory can describe its production process, monthly capacity and lines in detail.
  • Warning sign: a huge catalogue with product categories that share no manufacturing process.
  • An unedited video call walking through the plant clears up a lot in a few minutes.

3. What to verify before committing

Before signing and paying, gather a minimum of documentary and practical evidence about the supplier.

  • Valid business licence, company age and a match between the legal name and the bank account.
  • Export experience to the European Union and knowledge of the regulations applicable to your product.
  • System certifications (for example ISO 9001) and previous test reports for similar products.
  • References from European customers and real production capacity against your expected volume.
  • Never pay into a personal account or to a holder different from the one named in the contract.

4. The factory audit

A plant visit — your own or through a trusted third party — is the most effective way to confirm what the supplier says about itself.

  • It verifies the physical existence of the plant, the production lines and the available machinery.
  • It reviews the quality control system: inspection points, records and non-conformity handling.
  • It checks labour and safety conditions, increasingly relevant to the European buyer's reputation.
  • The audit report is also a negotiation tool: it documents the points to improve.

5. Negotiating and formalising the relationship

With the supplier validated, the goal is to put in writing everything that will later prevent disputes: what is manufactured, how it is controlled and what happens if something fails.

  • Bilingual contract (Chinese and English or Spanish) with the technical specification annexed and an approved reference sample.
  • Staged payment terms tied to milestones: deposit, sample approval and pre-shipment inspection.
  • Late-delivery penalties and an agreed protocol for defects or specification deviations.
  • Confidentiality agreement and protection of moulds, designs and brand when the product is your own.

6. Maintaining the relationship long term

The value of a validated supplier grows over time. The companies that buy best in China build relationships that are both stable and demanding.

  • Share volume forecasts: visibility improves pricing, production priority and lead times.
  • Assess each order with simple indicators: on-time delivery, defect rate and response to incidents.
  • Always keep a qualified alternative supplier so you never depend on a single factory.
  • Visit regularly: physical presence remains the best management tool in China.

How do I know whether a Chinese supplier is reliable?
A platform profile is not enough. Verify the business licence, confirm the company actually manufactures the product, request European customer references and, if the volume justifies it, commission a factory audit before paying the deposit.
Is it better to work with a manufacturer or a trading company?
With a manufacturer you usually get a better price and technical control; with a good trading company you gain flexibility, multi-product management and lower MOQs. What matters is knowing who you are dealing with and negotiating accordingly.
Which payment terms are safe?
The usual arrangement is a 30% deposit and the balance against documents or after pre-shipment inspection. Avoid paying 100% upfront and never transfer to personal accounts or a holder other than the contracting company.
Do I need to travel to China to choose a supplier?
